FieldTime is a workforce time and field-service reporting system operated by the organisation that has provided your account. This statement explains the information FieldTime handles and the reasons it is used.
Information we collect
FieldTime may hold your name, email address, department, assigned role, account status, timesheet entries, working dates and times, jobs, clients, sites, work descriptions, mileage, leave information, approvals, shared entries, and related comments.
Fault reports may include the staff and coworkers attending, job and client details, equipment information, reported faults, work performed, materials, purchase-order numbers, photographs, customer names, signatures, and contact details supplied for report delivery.
The system also records security and audit information such as login attempts, logouts, IP addresses, browser or device information, submissions, sharing, approvals, changes, and the user responsible for an action.
Why we use this information
Information is used to record working time, coordinate field work, prepare payroll and operational records, document service activity, share work with authorised coworkers, review and approve timesheets, communicate with customers, meet business and legal obligations, maintain security, investigate issues, and preserve an audit trail.
Who can access it
Access depends on the role assigned to your account. Staff can access their own work and information shared with them. Managers can review operational records and approvals. Office roles can view approved timesheets and fault reports for office processing. Administrators manage accounts, configuration, and audit information. Access should only be used for authorised work purposes.
Sharing and disclosure
Timesheet details may be shared with selected coworkers when they attended the same work. Fault reports may be printed, saved as PDF, or provided to the relevant customer. Information may also be disclosed to service providers or authorities where reasonably required to operate the system, protect people or the organisation, or comply with applicable law.
Photos and customer signatures
Only attach photographs relevant to the job. Avoid capturing unrelated people, personal documents, vehicle registrations, access codes, or private areas unless necessary and authorised. Customer signatures and contact details must only be collected for confirming and delivering the relevant report.
Storage, security, and retention
The organisation uses access controls, authenticated accounts, role restrictions, audit records, secure hosting, and backups to protect information. No system can guarantee absolute security. Information is retained only as long as required for operational, employment, contractual, audit, and legal purposes, after which it should be securely removed or anonymised under the organisation’s retention process.
Your responsibilities
Keep your login details private, use accurate information, attach only relevant content, log out on shared devices, and promptly report suspected unauthorised access, incorrect records, or a lost device.
Access, correction, and questions
You may ask to see personal information held about you or request correction of information you believe is inaccurate. Contact the site administrator or the organisation’s designated privacy contact using your normal workplace contact channel. Some audit or business records may need to be retained even when an account is disabled.
This statement should be reviewed by the organisation before production deployment and updated with its legal name, privacy contact details, retention periods, hosting providers, and any industry-specific requirements.
